Since every wedding is truly unique it is impossible to have a set of generic packages. Each wedding requires a variable amount of work and you should not pay for more than you need. Pacific Elegance offers as little or as much help as you need but most weddings fall into one of two categories or somewhere in between - complete wedding coordination or "day of" wedding coordination. These are not complete lists, they are just a portion of the tasks we can take care of for you:
GRAND GALA PRODUCTION
This is a full service wedding coordination from beginning to end - a popular choice for those coming to the Mendocino area to say "I Do."
- Four (4) face-to-face meetings to go over wedding details (i.e.) design/decor, timelines, budget, etc.)
- Assist with locating and contracting that perfect location for your wedding, reception, or rehearsal dinner.
- Provide custom professional wedding specialists (vendors) referral list
- Accompany you to site location walkthrough
- Assist with creating and printing of stationary (save the date cards, invitations, programs, etc.)
- Scheduling of Wedding Specialist Day(s) - this is a meeting with caterers and pastry chefs, photographers, florist, rentals, etc)
- Accompany you to all Wedding Specialist (vendor) meetings
- Assist in finding the perfect officiator
- Assist in negotiations and selection processes with all Wedding Specialists
- Ordering and arranging pick up of rental equipment
- Create a personal wedding plan checklist to assure no tasks become overwhelming or overlooked
- Ongoing and unlimited support throughout the entire planning process via, mail, fax, phone or email.
- Negotiate room blocks for you and your guests
- Assist with coordinating and contracting transportation for you and your guests
- Create a comprehensive event time schedule for Wedding Specialists (vendors) and the wedding party
- Unlimited recommendations/suggestions (i.e. creative ideas, budget, etiquette, etc.)
- Confirm contracts and timing of all events with wedding specialists
- Orchestrate the wedding rehearsal and organize everyone in the wedding
- Coordinate the wedding ceremony and get you down the aisle on time
- Manage flow and timing of events throughout the day with you, your family, and wedding specialists
- Check and double check all arrangements throughout the planning process and wedding day

WEDDING "DAY OF" DIRECTION
For those that want to do all of the legwork and planning themselves yet would like to have someone there on the wedding day to direct the day's events so you and your family can be guests at the wedding.
Services prior to your wedding:
- Four (4) face-to-face meetings to go over wedding details (i.e. design/decor, timelines, budget, etc.)
- Create a comprehensive event time schedule for Wedding Specialists (vendors) and the wedding party
- Unlimited support via, mail, fax, phone or email.
- Unlimited recommendations/suggestions (i.e. creative ideas, budget, etiquette, etc.)
- Orchestrate the wedding rehearsal and organize everyone in the wedding
- Confirm contracts and timing of all events with wedding specialists
Services on the day of your wedding:
- Receiving deliveries and greeting wedding specialists (vendors)
- Oversee all wedding specialist commitments and make sure they are fulfilled to your standards
- Manage flow and timing of events throughout the day
- Provide an additional wedding coordinator if needed
- Oversee setup and breakdown
- Ensure proper placement of escort cards
- Emergency kit onsite for stains, rips, head and stomach aches, etc. so that everything is perfect!
- Assist photographer in rounding up family members and make sure you get all the photos taken that you wanted
- Cuing of musicians for all events, processional, first dance, etc.
- Lining up, cuing wedding party and getting you down the aisle on time
- Making sure all reception finishing touches are in place before guests enter
- Make sure all candles are lit and stay lit the entire time
- Answering and attending to guest questions and concerns
- Running errands to pick up anything that happens to run out
- Ensure that anyone with special dietary requests are followed through correctly
- Continually communicating with Chef/Caterer and all other wedding specialists
- Distribute payment/gratuities to wedding specialists
- Keeping track of, organizing and packing everything up for you at the end of the evening (cameras, toasting goblets, guest book, etc.)
- Loading gifts into the proper vehicle
- Be there by your side, ready and available for any and all emergencies
- Being your eyes and ears throughout the day so you can enjoy the moment
SITE TOURS
We offer site tours of a variety of locations that suit your budget and venue. We specialize each site tour for each client based on their budget and type of wedding and venue they are looking for. There is no reason for you to waste time looking at locations that do not suit you.
On a 2 or 3 hour site tour we'll generally take you to 6 to 12 locations. Keep in mind that you might also be looking for somewhere to host the rehearsal dinner or lodging for the bridal party or families.
HOURLY RATE
Pacific Elegance can be obtained as your event consultant for services which include, but not limited to, phone calls, face-to-face meetings, travel time to and from any and all appointment and the like. Time will be kept track of in fifteen (15) minute increments. Any additional costs incurred to execute your requests such as postage, film developing, etc. will be reimbursable to Pacific Elegance. In addition, Pacific Elegance will keep accurate records of all time spent on phone calls and meetings on your behalf. A statement of such record can be sent to your attention at any time during the planning process.
The wedding "day of" direction includes 1.5 hours on the rehearsal day and 10 hours on the day of the wedding. Any additional time will be billed at the agreed upon hourly rate.
